What practice management systems do you work with?
We work with several practice management systems. The platforms we are most familiar with and have established billing workflows for include:

However, if your system isn’t listed, that doesn’t mean we can’t support your practice. Our team can develop efficient billing processes within virtually any optometric practice management system.

Do your services include patient collections?
No. We believe patient collections are best handled directly within your office. This allows your team to review each account individually and decide whether to send collection correspondence, offer discounts, or wait to collect at a future visit.
Patient collections are a delicate process and are best managed by someone familiar with your patients and your practice’s collection policies. Our goal is to support your billing operations without risking negative patient experiences or relationships.
What happens when a claim is rejected or denied?
Rejections and denials are reviewed and worked on a weekly basis by our billing team. When a claim is rejected or denied, we review the reason and determine what corrections or additional information are needed to resubmit the claim.
In most cases, we are able to locate the necessary information within the patient’s record in your practice management system and correct or resubmit the claim without needing assistance from your office. If required information is not available, we will reach out to your office so your team can contact the patient or provide the needed details.
If we identify recurring rejections or denials for the same issue, we work with your office to determine the root cause and help implement processes to prevent the problem from continuing.

How easy is it to sign up and begin your services?
Getting started is simple and streamlined. Once we determine that our services are a good fit for your practice, we’ll provide a service agreement along with a brief onboarding questionnaire to gather the information needed to begin.
After the agreement is signed, we’ll coordinate access to your practice management system—either through an RDP connection provided by your office (if you are on a cloud-based server) or through our HIPAA-compliant remote access software to connect securely to a designated computer within your office. We will also obtain your insurance and payer portal credentials so we can begin working claims promptly and efficiently.
From there, our team works closely with yours to ensure a smooth transition with minimal disruption to your daily operations.
